ADMINISTRATIVE ASSISTANT
Job Summary: The Administrative Assistant for Adult Services provides administrative and office support to the departments of the Residential Services and Day Services. Duties included in this role are preparing presentation materials; entering and maintaining information in appropriate databases; coordinating meetings, taking meeting minutes; doing product research via the Internet; and performing day-to-day office tasks.
Responsibilities include but are not limited to:
- Handling day-to-day administrative tasks such as scheduling/coordinating meetings, filing, typing correspondence, faxing, and copying;
- Developing, coordinating, and maintaining a variety of databases including those that have time-sensitive deadlines and contain confidential data;
- Maintaining On-call schedule and notification grids;
- Creating and maintaining case review schedules;
- Recording and distributing meeting minutes;
- Electronic Health Record (Therap) tasks include re-setting passwords, updating caseloads and privileges, etc.
- Maintaining and organizing office and PPE supplies for Admin office and Day Program locations;
- Developing presentation materials;
- Assist in organizing the scheduling activities of the Adult Services Directors;
- Performing research on specified subjects and products;
- Ensuring the residential and day team members have the administrative tools in place to effectively perform their jobs for example, ensuring supplies are stocked and handouts and materials for training are available;
- Other administrative duties and special projects as assigned
Knowledge, skills, and abilities:
The person in this position must be detail-oriented and have excellent organizational skills, interpersonal skills and communication skills. This position requires excellent computer skills, including proficiency with MS Office applications and a working knowledge of the operation of Apple products and apps associated with I-pads and iPhones.Knowledge of Word, Sharepoint, and Outlook preferred.
Education/Experience:
A high school diploma is required – some college is a plus; a minimum of four years experience working at an administrative assistant level.
Availability to work 8:30a-4:30p M-F with some flexibility. Four days are in person at the Stratham NH office and the fifth day can be remote.
Pay: $20.00/HR
